1. Payments & GST

A 15% GST charge applies to all EFTPOS transactions, including ticket sales, bar tabs, and any other electronic payments processed through the venue.

Performers are responsible for providing their bank details or invoice prior to the performance or as soon as possible afterward.

Standard payment terms are 7 days from the date of invoice, unless an earlier payment date has been agreed in advance.

GST does not affect agreed artist payments unless otherwise specified.

2. Sound Check

Standard sound check is scheduled between 3:00pm and 4:00pm on the day of the performance.

Artists must arrive on time to avoid delays.

Adjustments to sound check times must be agreed upon in advance and are subject to staff availability.

3. Performer Discounts

Performing musicians and artists receive a 30% discount on food and beverages during their booking.

Discount applies only to performing members unless approved beforehand.

4. Venue Hire

No venue hire fee is charged for standard gig bookings at Common Room.

Includes use of venue stage, lighting, and in-house PA system.

Artists or performers are responsible for paying the sound technician fee unless otherwise arranged in advance.

5. Cancellation Policy

Cancellations must be communicated as early as possible.

Within 48 hours of the show: Common Room reserves the right to cancel future bookings with the artist.

If the venue cancels due to unforeseen circumstances, artists will be notified immediately and rescheduling will be prioritised.

6. Payment Structure / Door Split

Standard arrangement is a door split unless otherwise agreed.

A typical setup may be:

  • Artists receive 100% of ticket/door sales after GST & ticketing fees, OR
  • A fixed guarantee + split (negotiated case-by-case).
  • All agreements will be confirmed in writing (email or message) prior to the event.

7. Door Management Responsibility

For safety and licensing reasons, Common Room staff are fully responsible for running the door on the day, including:

  • Checking IDs, and managing entry
  • Monitoring capacity and handling crowd flow
  • Collecting entry payments using our systems (cash, EFTPOS, or ticketing where applicable).

Artists or their friends, family, crew and anyone associated with the performance are not expected or permitted to manage entry, check tickets, collect money, or control access at any time.

Common Room collect entry payments on behalf of both the venue and the Artist and then reconcile and pay out according to the agreed door split or payment arrangement discussed before the event.

8. Age Restrictions, Supervision & Compliance

Common Room is a supervised bar.

Anyone under 18 years old must be accompanied by their parent or legal guardian to be inside the venue.

Approved forms of supervision follow NZ licensing laws; older siblings, relatives, or friends do not qualify unless legally appointed as guardians.

Artists must comply with all host responsibility rules, including:

  • No encouraging underage drinking
  • No supplying alcohol to minors
  • No alcohol on stage or backstage during any all-ages/supervised portions of the event (if applicable)

Venue staff reserve the right to check identification at any time and refuse entry where required by law.

9. Backline & Technical Specifications

Common Room provides:

  • In-house PA system
  • Basic stage lighting
  • Sound technician (if arranged)
  • Performers must supply:
  • Instruments
  • Amps
  • Specialty equipment

A technical/tech rider must be provided at least 7 days before the event if specific requirements exist.

10. General Expectations

Performers must treat venue staff, equipment, and patrons with respect.

Any damage caused by negligence may be charged to the artist.

Promotion is the responsibility of the artist unless otherwise arranged.

Artists must follow staff directions regarding noise limits, set times, and pack-down procedures.
